Managing Notes with views
As the table that follows shows, you can manage Notes through a variety of view tasks.
ToDo this
Open a view
  1. Select a database.
  2. Choose View - Go To and select the view you want to open in a new window.

Note When any view is open, you can open a new window for the same view or for a different view.
Open view that current open document is in, without closing the documentWith focus in the open document, choose View - Go up to Parent View.
Sort a viewIf a triangle appears in a column heading, you can click the heading to sort the view. In some cases, double triangles appear so you can sort the column in several ways. When you change your view sorting, Notes saves your changes.
Show only selected documents in a view
  1. Click the view pane and select at least one document.
  2. Choose View - Show - Selected Only.
Switch views in the navigation paneIf the navigation pane does not appear on the left of the view pane, drag the left edge of the view pane to the right.
Switch views from the menu
  1. Choose View - Go To.
  2. Select a different view.
Switch views while keeping your selected documents highlighted
  1. Select the documents you want highlighted in another view.
  2. Press and hold CTRL (COMMAND on the Macintosh) and select a different view.

Note If a document is not included in the view you switch to, Notes audibly beeps.
Collapse all items in a view to make it easy to scan
  1. Click the view pane.
  2. Choose View - Expand/Collapse - Collapse All.
Expand only selected items in a view
  1. Click the view pane.
  2. Select the item you want to expand.
  3. Choose View - Expand/Collapse - Expand Selected Level.

Note Expanding to only the selected level shows subcategories indented under a category, or response documents indented under a main document.
Expand only the selected level in a view
  1. Click the main view pane.
  2. Select the item you want to expand.
  3. Choose View - Expand/Collapse - Expand Selected & Children.

Note Expanding the selected item plus all items under it reveals documents as well as subcategories.
Expand all items in a view to see all levels of responses
  1. Click the view pane.
  2. Choose View - Expand/Collapse - Expand All.
Refresh a view to see new documents
  1. Click the view pane.
  2. Choose View - Refresh.
Show only categories in a view
  1. Click the view pane.
  2. Choose View - Show - Categories Only.
Search for text in a view
  1. Choose Edit - Find/Replace.
  2. Enter the text you are searching for.
See more columnsThe horizontal scroll bar should appear when needed. If it does not appear, do one of the following:
  • Press the RIGHT ARROW key to display horizontal scroll bar. Drag the horizontal scroll bar right or left.
  • Choose View - Show - Horizontal Scroll Bar.
  • See more information in a column (if the column is resizable)
    1. Move the cursor over the right edge of the column's title until you see a vertical line with two horizontal arrows (this is the splitter).
    2. Drag the splitter to the right.
